AI Notice
Working version 2026-10-25.v2 – legal review pending
This notice explains what the AI in Zolia can and cannot do, what can go wrong if you rely on its results without checking them, and what you should do to avoid that. It forms part of our Terms of Use and our Office Terms. We show it to you before you first use AI features, and you can read it at any time under Help in the app.
What the AI in Zolia does
- 1.1 Zolia uses AI to do and prepare work for you: replies to clients, summaries of conversations, reports and market overviews, checks of documents and data, the sorting of incoming messages, reminders and suggestions for next steps.
- 1.2 In the space of a brokerage, the AI works as a team: a management AI, an organiser and ten specialist AIs (together the "12 AI team members"), and a personal assistant for each broker. From set-up, Zolia does the work of the brokerage ("Done by Zolia"): internal work that can be undone, such as sorting, CRM upkeep, follow-ups, reports, research, market data and matching, runs on its own; anything that goes out, such as messages to clients, invoices and advertisements, Zolia prepares completely, and a person approves it with one click. Where the results of a process have been reliable, Zolia can suggest that it also completes the outgoing steps of that process on its own; this applies only once the people who manage the office confirm it. Steps that the law reserves for people stay with people (section 2.5). The brokerage can change this for each process, put every step on approval with "Ask me first for everything", and stop any AI team member at any time.
- 1.3 In your personal space, the AI prepares drafts. If you switch on automatic replies, it sends replies under the rules you set.
What the AI in Zolia does not do
- 2.1 It does not broker property and does not represent you, your clients or anyone else.
- 2.2 It does not value property. Market figures come from public data, such as the open data of the Dubai Land Department, and from our calculations based on them; they are not a valuation.
- 2.3 It gives no legal, tax or financial advice.
- 2.4 It does not decide on applications of tenants or buyers and does not score or rank applicants.
- 2.5 It never moves money, signs documents, takes anti-money-laundering decisions or files anything with an authority. These steps always stay with people; the AI can only prepare them.
- 2.6 It never pretends to be a person.
How the AI works and what happens to your data
- 3.1 The AI uses language models of Anthropic (Claude), provided through Amazon Web Services in data centres in the European Union. Zolia also uses services of Microsoft in the UAE to read text in documents and to convert speech to text.
- 3.2 Before any content goes to a language model, Zolia replaces names, phone numbers, e-mail addresses, IBANs, identity numbers and similar details with placeholders, and puts them back only inside our systems in the UAE. Identity documents and identity-check data never go to a language model.
- 3.3 Zolia checks your permissions before any data reaches the AI. The AI sees only what you, or the person working with it, may see.
- 3.4 The model providers do not use your content or your clients' data to train their models, and we do not train models with your clients' data.
- 3.5 Your data is stored in the UAE. Our Privacy Policy and the Security Schedule describe the details.
Limits of the AI
AI results can be wrong even when they sound certain. In particular:
- 4.1 The AI can state facts, figures, dates, prices, sizes or names that are wrong or that it has made up.
- 4.2 It can misunderstand a message, a voice message, a photo or a document, especially if the quality is poor, if several languages are mixed or if the text is handwritten.
- 4.3 Translations between Arabic, English and other languages can change the meaning.
- 4.4 Market data can be incomplete or out of date; public sources are published with a delay and can be corrected later.
- 4.5 Rules for brokerage, advertising, data protection and anti-money-laundering change. The AI may not reflect the latest rules.
- 4.6 The AI knows only what is in Zolia and in the request. It does not know what was agreed by phone or in person unless it was recorded.
- 4.7 The same request can produce different results.
- 4.8 When the AI acts on its own (automatic replies, or outgoing steps that a brokerage lets Zolia complete on its own), a mistake can reach a client before anyone has seen it.
What can go wrong if you rely on AI results without checking them
- 5.1 A client receives a wrong price, a wrong fee, wrong availability or wrong information about a property, which can cost you the deal or lead to a claim against you.
- 5.2 An advertisement or message breaks the rules for property advertising, for example without the required permit, which can lead to a fine for you or your brokerage.
- 5.3 A message goes to the wrong person, or contains information about another client, which can be a breach of data protection law.
- 5.4 A message makes a promise or an offer that you did not intend, for example a price, a discount or a deadline.
- 5.5 A deadline, a document or a required check is missed because a summary left something out.
- 5.6 A message to a person who has not agreed to be contacted, or who is on the "do not call" register, breaks the rules for marketing messages.
- 5.7 A result treats people differently because of their nationality, religion, gender or another protected characteristic.
What you should do
- 6.1 Review every AI draft before you send, publish or rely on it, and correct it where necessary. You are responsible for what you send.
- 6.2 Check prices, fees, sizes, dates and other figures against the original source, for example the developer's price list, the title deed or the contract.
- 6.3 Check the recipient before you send.
- 6.4 Do not let the AI make promises, offers or commitments for you. Prices and terms are agreed by people.
- 6.5 Keep the note that a message was written with the help of AI. Remove it only if you have checked the text yourself.
- 6.6 In a brokerage: Zolia does internal work that can be undone on its own from set-up; check regularly what it has done and correct or undo anything that is wrong. Approve outgoing steps only after you have reviewed them, and let Zolia complete outgoing steps on its own only where the results have been reliable. If you want to approve every step, switch on "Ask me first for everything". Use the stop function at once if something goes wrong.
- 6.7 Enter identity documents, health data and other sensitive data only where it is necessary.
- 6.8 Your own legal duties remain, for example for advertising permits, client consent, identity checks and anti-money-laundering.
- 6.9 Tell us about any mistake of the AI through Help in the app.
Labels and records
- 7.1 The first message that the AI writes in each conversation with a client says that it was written with the help of AI (on WhatsApp after a pause of 24 hours, by e-mail in each thread), in a brokerage's space with the name of the brokerage. For automatic replies, this note cannot be switched off.
- 7.2 If you send an AI draft yourself, the note stays unless you confirm in the app that you have checked the text yourself; Zolia records who removed it.
- 7.3 In a brokerage, every step of the AI team is recorded in the case concerned.
Your control
- 8.1 AI features run only after your separate permission in the app; without it you can use Zolia without AI. Our help desk is the exception (see our Privacy Policy).
- 8.2 You can switch automatic replies off at any time.
- 8.3 In a brokerage, the people who manage the office set the autonomy level for each process, can put every step on approval with "Ask me first for everything", and can stop any AI team member, or all of them, at any time.
Credits and mistakes
- 9.1 Before an AI action starts, the app shows how many credits it uses. If an AI action fails, the credits are returned automatically (Terms of Use, section 7.7).
